Assigning a supervisor in a KickUp Growth (Evaluations) instance gives a user visibility into the evaluators they oversee, along with those evaluators' progress and data. This is helpful when, for example, a principal needs to keep an eye on the evaluations their assistant principals are conducting. KickUp offers the ability for administrative users to import a CSV file in a specified format to add supervisors and the list of evaluators they oversee to a specific Evaluation instance.
Note: Supervisor import functionality is available only to KickUp users with the Manage Evaluations permission.
The Import Process
Importing supervisors involves a few straightforward steps:
Format the CSV file: Ensure the file has correct headers and values.
Begin your import: Upload your CSV file to the system.
Validate and import: Check for any issues with your file format or data prior to importing.
Verify the imported supervisors: Review your imported data to ensure accuracy.
Step 1: Format the CSV File
To start, make sure your CSV file is correctly formatted. CSV files can have two columns with the following information:
Supervisor Email (required): This column contains each supervisor's email address.
Evaluator Email: This column contains the email address of a single evaluator that the supervisor oversees.
As a reminder, each row in your file must represent a single supervisor <> evaluator combination. If a supervisor oversees multiple evaluators, your import file should have multiple rows (one per evaluator). Be sure to download the sample CSV from within the Import supervisors window to help guide your formatting.
Step 2: Begin Your Import
Ensure you are in “Edit” mode within a Growth evaluation instance.
From the Evaluators tab, click the three-dot action menu (to the right of the Add button).
In the dropdown, click Import supervisors.
Drag and drop or browse your device to select your CSV file. (You can also download the sample CSV here for reference.)
Step 3: Validate and import the file
After uploading, click "Validate" to check your file. The system will highlight any rows with errors. Common issues might include missing required fields, improperly formatted emails, or emails not associated with KickUp users. Hover over the error icon for details on specific issues.
If any rows are invalid, you can either proceed with importing only the valid rows or go back to your file, correct the errors, and re-upload.
Once your file is validated, click Import to complete the process.
After the import is complete, a message will appear with details about the imported and skipped rows.
Step 4: Verify the imported supervisors
Close the window to return to the Evaluators tab and review your imported data. You can search for individual supervisors to confirm that they were imported correctly and are linked to the right set of evaluators. Make any additional edits directly within KickUp's interface if needed.
FAQs & Related Resources
Q: What does a supervisor see once imported?
A: A supervisor gains view access to the evaluators they oversee, allowing them to monitor those evaluators' assigned staff members and evaluation progress. Supervisors do not conduct the evaluations themselves.
Q: Can I delete supervisors using a CSV import?
A: No, imports only add new supervisors or update existing ones. To remove a supervisor, please use the delete function in the system interface.
Q: Can I use a sample file for reference?
A: Yes. Open the Import supervisors window and click download the sample CSV to ensure proper formatting. Simply download it, update it with your own information, and save it as a .CSV file.
