How it works
View Profile Pages (attribute-scoped)
Profile page access can be granted district-wide or scoped to a specific school, department, or other attribute. A principal at Lincoln Elementary, for example, can be given access to profiles for staff at their school without gaining access to district-wide records.
Hidden questions
Form administrators can mark specific questions on walkthrough and coaching log forms as hidden. Hidden questions are suppressed for the educator the form is about when they view their own profile page or coaching activity feed — but remain visible to coaches, principals, and administrators in all other views, including dashboards and data exports. Nothing changes for anyone except the educator who is the subject of the form.
Setting up View Profile Pages (attribute-scoped)
Navigate to Directory → Groups.
Select the group (or create a new one) for users who need access.
Open the Permissions tab within the group.
Add the View Profile Pages permission.
Set the scope: choose Attribute-limited and select the relevant attribute (for example, View for Same School).
Save the group.
Users in that group will be able to access profile pages for educators whose attributes match the scope you configured.
Tip: Users with the district-wide View Profile Pages permission continue to see all profiles as before. The attribute-scoped version adds building-level access without changing anything for district administrators.
Configuring hidden questions on a form
Open the form in the Form Builder.
Click the question you want to configure.
Enable Hidden question in the question settings panel.
Save and publish the form.
A lock icon appears on hidden questions in the form builder so you can identify them at a glance. Hidden questions are currently supported on walkthrough and coaching log forms. Evaluation and coaching cycle forms are not yet supported.
Contact your CSM if Hidden Questions isn’t available for your district.
Sharing a form on educator profiles
Open your walks or coaching instance.
Click Edit, then the Settings tab, then go to the Sharing section.
Enable Share on profile page.
Save and publish the form.
For staff members
If your coach or observer shares submissions with you, you’ll see those submissions on your profile page and in your coaching activity feed. Questions marked hidden will not appear — all other questions and responses display normally.
Hidden questions don’t affect what your coach or administrator sees. They’re designed to let coaches capture reflective or internal notes without those notes appearing on your profile.
Frequently asked questions
Who can configure the View Profile Pages permission?
District administrators with user and group management access.
Does attribute-scoped profile access include submission data on the profile?
Yes — the View Profile Pages permission grants access to the profile and to submissions for educators within the scoped attribute. Submissions are still subject to each instance’s data sharing settings.
If a question is hidden, can the educator ever see it?
No. Once marked hidden, the question is suppressed for the educator on profile pages and the coaching activity feed. It continues to appear in dashboards, exports, and all admin-facing views.
