Creating and managing surveys requires the Manage Surveys permission. Anyone you invite needs an existing KickUp account, but no special permission — they can respond to a survey just by being invited.

How it works
Survey status
Every survey is in one of three states.
Status | What it means |
Draft | You're still setting it up. You can build the form, add participants, and choose your submission settings, but no one can submit yet. |
Open | Participants can submit the survey. You can still add participants and send invites or reminders. |
Closed | No new submissions are accepted, but everything you've collected stays visible. |

Creating a survey
A survey starts as a draft, so you can take your time setting it up before anyone can respond.
From the Surveys page, click New survey.
Enter a Name, and optionally choose a School year.
Click Create survey.
You'll land on the survey's edit view in Draft status, ready to build.
Build your survey form
Once you start a survey or click edit on an existing survey:
Click the Edit button in the Survey tab to start adding questions.
Add questions and choose how submissions come in.
Your survey needs at least one question before it can be opened.
Choose how submissions are attributed
Before you open the survey, decide whether submissions should be linked to each person.
On the Survey tab, find the Make responses anonymous setting.
Leave it unchecked to keep submissions attributed — you'll see who submitted what.
Check it to make submissions anonymous. You'll see completion and results, but not who said what. This is a good fit for climate surveys and feedback.
If you make the survey anonymous, choose the Attributes to keep — details like grade level or role that you'll want to filter and group results by, without revealing identities.
Your anonymity choice locks once the survey opens and can't be changed afterward. Set it before you open.
Inviting participants and collecting submissions
Once your form is ready, add the people who should respond, open the survey, and send their invitations.
Add participants
Open your survey and go to the Participants tab.
Click Add.
In the Add participants window, search for People, Groups, or Attributes. Groups and attributes expand into their individual people.
Review your selections, then confirm to add them.
Adding people doesn't notify them. They won't hear anything until you send invitations.
Open the survey
In the survey's edit view, open the status control and select Open.
Review the Open survey? confirmation, including the note about your anonymity setting, and click Open survey.
Send invitations and reminders
On the Participants tab, click Send invite.
Confirm in the window that appears. Participants get an email and the survey appears on their homepage. Anyone already invited won't be notified again.
Later, click Send reminder to nudge people who haven't finished. Those who've already submitted won't be contacted.
If you send an invite while the survey is still a draft, KickUp opens it for you as part of the same step.
Track who's responded
Each participant shows a status on the Participants tab.
Status | What it means |
Not invited | Added, but hasn't been sent an invitation yet. |
Invited | Has been invited and hasn't submitted yet. |
Completed | Has submitted the survey. |
To remove someone, open their row's actions menu and choose Remove. They won't be able to submit going forward, but you can re-add them later. People who've already completed the survey can't be removed.
Close or reopen the survey
When you're done collecting, open the status control and select Closed. No new submissions are accepted, but your results remain visible. You can reopen a closed survey the same way.
Reviewing and sharing results
Results appear as soon as people start submitting. You don't need to wait until the survey closes.
Open your survey and go to the Data tab.
At the top, check the summary metrics: Submissions (how many people submitted), Invited (how many were invited), and Response rate.
Switch between Summary and Submissions
Summary shows a breakdown of submissions for each question — the quickest way to see overall trends. Submissions shows one row per submission, so you can review them individually. If your survey is anonymous, you won't see who each submission came from.
Use the filters to narrow results by the attributes you chose when setting up the survey, for example by grade level or role.
Export your data
From the Submissions view, use the export option to download your data for deeper analysis or sharing outside KickUp.
Give others access to the results
You can let specific people view a survey's results without giving them the ability to edit it.
In the survey's edit view, go to the Permissions tab.
Add the people who should have access and grant them Can view data.
They'll be able to open the Data tab for that survey, but not change the survey or manage its participants.
For participants
When you invite someone to a survey, they get an email and it appears on their KickUp homepage, with the ones waiting on them listed first. They click Take survey, answer the questions, and submit — no special access is needed.
If a survey is anonymous, their submission isn't linked to them. You can see that submissions came in and review the results, but not who said what. Once someone submits, their response is recorded and the survey is complete for them.
Frequently asked questions
Can I change the anonymity setting after the survey opens?
No. Your anonymity choice locks once the survey opens and can't be changed.
Why can't I open my survey?
Your form needs at least one question before it can be opened. Finish building it, then try again.
What happens if I send an invite while the survey is still a draft?
KickUp opens it for you as part of the same step.
Can I remove a participant who's already completed the survey?
No. People who've already submitted can't be removed.
