Viewing a Dashboard

Learn how to interact with KickUp data as a dashboard viewer

Dashboards is a newer feature set currently in beta. If you'd like access to it, please contact your KickUp Client Success Manager.

A KickUp dashboard can be viewed by any user with whom the dashboard has been shared. Users viewing a dashboard can interact with the data, apply filters, and drill into visualizations. Any actions taken when viewing a dashboard are temporary and won't affect others' view of the dashboard.

Filtering data

You may use filters to narrow down the data displayed in a dashboard. Any filters you apply are specific to your view of the dashboard and reset when you leave or refresh the page, enabling low-risk data exploration and analysis.

To filter your view of the data:

  1. Click the Filter button (top left) to open the filter sidebar

  2. In the sidebar, click Add filter +

  3. Search or scroll to locate the type of filter you want to apply

  4. Click on the value(s) for this filter to apply

  5. When done filtering, click x to close the sidebar

Filters you have applied display as orange tags at the top of the dashboard.

To modify a filter:

  1. Re-open the filter sidebar

  2. Click the down arrow to expand the filter

  3. Make changes to your filter selections

To remove a filter, you may either click the x at the top of the dashboard, or open the filter sidebar and click the trash icon next to the filter you'd like to remove.

Drilling into data

You can drill in to see more detailed data breakdowns by clicking on particular visualizations. For example, with bar charts you can click each bar of the chart to drill into individual data points that make up the given bar.

To drill into a data visualization on a dashbaord, click Drill in or any other interactive element. Most browsers reveal that an element is interactive by turning your mouse cursor into a hand when the element is hovered over.

To return to the original view of the data, click View chart.

Types of data and how they display

Dashboards, which are built by administrators and program leaders at your organization, may include the following types of data:

  • Multiple Choice Data: Typically displayed in bar charts. Click on a bar to drill down into more detailed data specific to that category.

  • Numeric, Time, and Count by Category Data: These data types can appear in various visual formats, including showing trends or comparisons over time.

  • Open Response Data: Displayed in sortable lists. You may search for keywords or sort responses based on different criteria.

  • Matrix Question Data: Displayed in heatmaps, these visualizations represent data from questions where responses are given on a response scale or rubric.

    • Matrix question data may be represented as either a "Top %" or an "Average" score.

    • Darker shades of green indicate a higher score distribution, while lighter shades mean lower scores.

    • When matrix question data are grouped, each column of a heatmap represents a different segment of data; the leftmost column displays the overall average.

  • Learning Opportunities: These represent professional learning opportunities offered by your organization. Depending on the display and grouping configurations, this data may be shown as a metric, table, or bar chart.

  • Learning Registrations or Hours: These demonstrate staff engagement in learning opportunities and may be displayed as a metric, table, or bar chart.

  • Goals from Coaching or Evaluation: These represent goals set in coaching cycles or evaluations and may be displayed as a metric, table, or bar chart.

Understanding preset filters

Data displayed in a dashboard may be pre-filtered by dashboard editors. Such "preset filters" cannot be removed by dashboard viewers. To gain access to data not included in a dashboard, please reach out to a KickUp system administrator.

If filters have been pre-applied to an entire dashboard, they appear as grayed-out tags at the top of the dashboard. These filters are different from personal filters, which appear orange and can be removed (or added) by you as a viewer.

Certain dashboard-level filters can change based on an attribute of the viewer - in other words, they can filter data differently based on the specific user viewing the dashboard.

For example, if the filter above is applied and your own "School" attribute in KickUp is "Douglass HS," your view of the dashboard will be pre-filtered to only data associated with staff members at the school called "Douglass HS."

Filters may also be preset for specific data visualizations. Whenever a data visualization is pre-filtered, a funnel appears in the top right corner of the visualization. Click on the funnel to see information about how the data are filtered.
