Collection & Series Visibility and Link Sharing

Find collections and series in one place, control who can see them, and share a private link to a collection.

Collections and series have their own tab, Collections & Series, and you control who can see each collection — including sharing a private link to a collection with specific people. This article covers where to find collections and series, and the visibility and sharing options.

Managing collections and series requires the Manage Collections permission.

Finding collections and series

When you're browsing: Collections and series show up only on the Collections & Series tab, unless the collection is set to show its events individually when browsing (see Controlling visibility). Otherwise, grouped collections and individual series don't appear in the Events and Courses tabs — if you're looking for a series, check the Collections & Series tab.

  • Cards show helpful signposting such as Registration Closed or a Registration Opens date.

  • Use the filter to focus on Open / upcoming versus Closed registration.

When you search or filter: Searching by an event name or a collection name also shows that collection's events on the Events tab, so a search always turns up matching events. Once you clear the search, those events go back to showing only on the Collections & Series tab.


Controlling visibility

Each collection has a Visibility section that controls who can see it. Under Visible to:

  • All users — visible to everyone who can browse learning opportunities.

  • Users with the link — hidden from browse; only people you share the link with can open it.

To also show the collection's events and courses on their own when people browse, check Show these events and courses individually when browsing, not just as part of the collection.


Sharing a private link

When a collection is set to Users with the link, copy its link and share it with the specific staff who should have access. This is useful for cohort-specific or invitation-only offerings you don't want surfaced in the general browse view.


Good to know

  • Events in a collection set to Users with the link stay hidden in search results too.

  • Changing a collection from Users with the link back to All users returns its events to the normal browse and search results.

  • The opportunities inside a collection may still vary in visibility based on their individual settings.

  • Empty and draft collections are visible to their creator, so you can find and finish them.
