How to add or remove optional steps from a KickUp evaluation

Some steps in an evaluation cycle might be optional. For example, an evaluator might be able to optionally perform more observations than required at their discretion, or a staff member might be on a waiver that reduces the number of observations they need to have completed. To support such workflows, steps may be configured by KickUp system administrators as opt in or opt out. Opt in steps will not initially appear as part of a staff member’s evaluation cycle, but can be added by an evaluator or administrator, while opt out steps will appear in a staff member’s evaluation cycle by default, but can be removed by an evaluator or system administrator.

To add an “opt in” step for a staff member

1. Open the add/remove steps modal. This can be accessed from the three-dot action menu on either the roster view or on an individual staff member’s evaluation page.

2. Click the Add button on the optional step(s) that you want to be a part of the staff member’s evaluation cycle.

Note: This action can be reversed as long as the step has not been signed by clicking the Remove button on the step.

To remove an “opt out” step for a staff member

1. Open the add/remove steps modal. This can be accessed on the roster view or an individual staff member’s page.

2. Click the Remove button on the optional step that you want to be a part of the cycle.

Other Notes and Implications

  • By default, only required and opt out steps will appear in the step progress visualization at the top of the Roster view. This can be changed using the settings menu.

  • Data associated with partially completed steps that have been removed from the cycle for a given staff member will be restored in the “Data” tab if the step is added back to the staff member’s evaluation cycle.

  • Once an opt in or opt out step has been signed, it can no longer be removed from the staff member’s cycle nor from the Data tab.

  • Staff members cannot add or remove steps themselves; this must be done by an evaluator or system administrator.

  • Steps that are removed from the cycle will not trigger email notifications when they reach their due date.
