Learn how to quickly get Coaching instances set up with Leads by importing a CSV file.

Making a user a Lead in a KickUp Coaching instance is one way to provide them with expanded access to data or management capabilities. KickUp offers the ability for administrative users to import CSV files in a specified format to add leads and their list of coaches to a specific Coaching instance.

Note: Lead Import functionality is available only to KickUp users with Manage Coaching Instances permission.

The Import Process

Importing leads involves a few straightforward steps:

  1. Format the CSV file: Ensure the file has correct headers and values.

  2. Begin your import: Upload your CSV file to the system.

  3. Validate and import: Check for any issues with your file format or data prior to importing.

  4. Verify the imported leads: Review your imported data to ensure accuracy.


Step 1: Format the CSV File

To start, make sure your CSV file is correctly formatted. CSV files can have two columns with the following information:

  1. Lead Email (required): This column contains each lead's email address.

  2. Coach Email: This column contains the email address of a single coach for whom the Lead has access

As a reminder, each row in your file must represent a single lead <> coach combination. If a lead has access to multiple coaches, an import file should have multiple rows (1 per coach. Be sure to download a sample file to help guide your formatting.

Step 2: Begin Your Import

  1. Ensure you are in “Edit” mode within a coaching instance.

  2. From the Coaches or Mentors tab, click the three-dot action menu (to the right of the Add button)

  3. In the dropdown, click Import leads

  4. Drag and drop or browse your device to select your CSV file

Step 3: Validate and import the file

After uploading, click "Validate" to check your file. The system will highlight any rows with errors. Common issues might include missing required fields, improperly formatted emails, or emails not associated with KickUp users. Hover over the error icon for details on specific issues.

If any rows are invalid, you can either proceed with importing only the valid rows or go back to your file, correct the errors, and re-upload.

Once your file is validated, click Import to complete the process.

After the import is complete, a message will appear with details about the imported and skipped rows.

Step 4: Verify the imported leads

Close the modal to return to the Coaches or Mentors tab to review your imported data. You can search for individual leads to confirm that they were imported correctly and have access to the right set of coaches. Make any additional edits directly within KickUp's interface if needed.
