Exporting a CSV of coaches, mentors, or observers and their access settings enables you to quickly scan the entire list of access settings configured in an instance. This can also be helpful for setting up a file to import access settings.
Note: This export ability is restricted to those with the Manage Coaching Instance or Manage Walks permissions.
Exporting the File
Navigate to a specific Coaching or Walks instance
Ensure you are in "Edit" mode
From the Coaches, Mentors, or Observers tab, click the three-dot menu next to the Add button
Click the Export option in the dropdown menu
Click Download file once the file has finished preparing. File preparation may take from a few seconds to a few minutes
Click Close or x to close the export modal
Understanding the File's Columns and Contents
Each row of the CSV export represents a single coach/mentor/observer + access setting item. An access setting item can be an individual user (Staff email column), a Group, or an Attribute value. If a given coach has three individual users on their access setting list, the CSV file will contain three separate rows with the Coach's email address in the Email column and the staff members' email addresses in the Staff email column.
The CSV file's columns and contents depend on the configuration of the instance from which the file is exported. The table below has detailed explanations of each type of column that may be present. Email - the only column always present in an import - contains the email address of the coach, mentor, or observer.
Column Header | Column Contents |
Email | Email address of the coach, mentor, or observer |
Staff email | Email address of the staff member on the coach/mentor/observer's access setting list |
Group | Name of the KickUp group on the coach/mentor/observer's access setting list |
[Attribute] ___ | KickUp staff attribute value on the coach/mentor/observer's access setting list |
Export to import flow
The format of the export file is intentionally identical to the format required to import coaches/mentors/observers and their access settings. The process for using exports to generate import files would be:
Export access settings from an instance as explained above
Open the CSV file on your device using a file editing program
Make any desired changes to the file, such as
adding or removing coaches/mentors/observers
adding or removing items from someone's access setting list
updating the contents of columns to reflect new assignments coaching, mentorship, or building leadership
Follow the instructions here to import the updated file
