How to create a Coaching Cycle

This article will help you create steps for your cycles within the Coaching module.

The coaching module within KickUp allows you to model your organization's coaching framework by adding a set of repeatable steps to your coaching instances. For an overview on the coaching module, visit this article.

Before you can create steps for Coaching Cycles, you must enable that feature within KickUp. Visit this article for instructions on how to enable Coaching Cycles.


Creating a coaching instance

To start, create a new instance. If you are creating a traditional coaching cycle, ensure that the instructional coaching use case is selected and then select create. If you are creating a New Teacher Mentorship Cycle, please review this article.

Creating Steps within Coaching Cycles

Once you have selected Add a Step, you will see three options for steps: Meeting, Form, and Goal Selection.

Goal Selection option in Coaching Cycles

Goal Selection provides a way for staff members to choose a goal for the coaching cycle.

Selecting Goal Selection opens a form where you can name the goal and provide a description. Next, you have the ability to assign the task to the coach or the staff member through the Assignee field. The Requirement field opens a dropdown list of options: Required Task, Opt in Task, or an Opt Out Task.

  • Required ensures that the task has to be completed by the user before completing the task.

  • Opt in is an optional step where coaches can choose to opt into completing during their cycle.

  • Opt out is an optional step where coaches can choose to opt out of completing during their cycle.

  • The Framework field allows you to connect data in KickUp to the instructional or professional practice framework used by your organization. Frameworks in KickUp are organized into nested “nodes” that your Client Success Manager helps you configure.

  • The Additional Questions field gives you the option to add open response questions for the assignee to answer for each goal.

  • Through the Number of Goals field, you can enter a fixed number of goals or range of goals that the staff member can create.

  • The Allow Artifacts field gives staff members the ability to attach files or provide hyperlinks.

Meeting Option in Coaching Cycles

The Meeting Option opens a form where you can add a name, description, who the form is assigned to, and if it is required. On the right side you will see the option to Allow Artifacts, which allows staff members to add attachments to the meeting.

Form Selection Option in Coaching Cycles

The Form Selection option gives you the ability to add a step that requires a form to be completed. This form is specific to this step. For a more extensive guide on how to create forms, visit this help article.

There are two types of forms:

General Form


A general form has no privacy restrictions and can be seen by admin, teachers, and coaches.

Private Form

A private form has privacy restrictions. The data provided in a private form remains private between admin, lead, and the person filling out the form. The primary use is to provide forms for coach/teacher or mentor/mentee reflections.

Saving your step


Once you have selected the type of form, edit the name, description, and determine if you want to allow artifacts. Select save. After you save your step, you can edit the step to configure the form for that step. For guidance on how to edit your form, view this article.
