Managing feedback for out-of-district PD

Require educators to complete a form before receiving credit for Out-of-District (OOD) professional development.

This feature helps districts increase feedback response rates for external PD and meet compliance requirements.

Note: This feature is limited to administrators with the permission to manage feedback forms.

Overview

When required feedback is enabled for Out of District Events:

  • Credit is granted only after both admin confirmation of attendance AND educator feedback submission

  • Educators can submit feedback starting on the date of the event — this can happen before or after an administrator confirms attendance

  • Status indicators help admins track where each educator is in the process


Setting Up Your OOD Feedback Form

Out-of-District Events use a single district-wide feedback form. Before enabling required feedback, designate which form to use:

  1. Go to Learning > Manage > Feedback Forms

  2. Find the form you want to use for OOD events

  3. Click the ellipsis (⋯) menu to the right of the form

  4. Check Out of district form

The form will display (Out of district form) next to its name to indicate it's designated for OOD use. Only one form can be set as the OOD form at a time.

Note: If a form is both the default for all opportunities and the OOD form, it will display (Default for all opportunities & out of district form).


Requiring Feedback on an OOD Request

The feedback requirement can be toggled directly off or on for any OOD request:

  1. Go to Learning > Manage > Out of District Requests

  2. Click on a request

  3. Check or uncheck Feedback required to override the district default for this request

Note: The feedback requirement can only be enabled if your district has an OOD feedback form designated (see above).


District-Wide Defaults

Your Client Success Manager can configure defaults for your district:

  • Default "Collect feedback" to checked – All new OOD requests will have feedback collection enabled

  • Default "Require feedback" to checked – All new OOD requests will require feedback by default

These defaults can be overridden by administrators on individual requests.


Understanding OOD Attendance Statuses

When required feedback is enabled, you'll see updated statuses in your OOD Requests table:

Status

What it means

Pending

Request submitted; waiting for admin review

Approved

Request approved; attendance not yet confirmed

Awaiting feedback

Event date has passed; educator has not yet submitted feedback

Awaiting confirmation

Educator submitted feedback; admin has not yet confirmed attendance

Confirmed

Admin confirmed attendance AND educator submitted feedback — credit is granted

Denied

Request was denied

Canceled

Request was canceled

Note: Awaiting feedback can appear whether or not attendance has been confirmed — it shows any time the event date has passed and feedback hasn't been submitted yet.

The OOD Requests table also includes two new columns:

  • Feedback required – Indicates whether feedback is required for this request

  • Feedback timestamp – Shows when the educator submitted their feedback


Confirming Attendance

Once you confirm an educator's attendance:

  • If feedback is required and they haven't submitted feedback yet, their status shows Awaiting feedback

  • If they already submitted feedback before you confirmed, their status updates to Confirmed immediately

  • If feedback is not required, confirming attendance grants credit as usual

Q: How do I enable required feedback for an OOD request?

A: Open the request under Learning > Manage > Out of District Requests and check Feedback required. Note that this option is only available if your district has a designated OOD feedback form configured.

Q: Can I waive the feedback requirement for a specific request?

A: Yes. Uncheck Feedback required on any individual request to waive it, regardless of your district's default settings.

Q: What happens if I confirm attendance before the educator submits feedback?

A: Their status will show Awaiting feedback. Credit will not be granted until they complete the feedback form.

Q: What happens if the educator submits feedback before I confirm attendance?

A: Their status will show Awaiting confirmation. Once you confirm, their status updates to Confirmed immediately and credit is granted.

Q: How do I set feedback as required by default for all new OOD requests?
